Job summary

As an International Payroll Specialist, you will be responsible for overseeing and managing payroll operations across multiple countries and regions. Your primary focus will be on ensuring accurate and compliant payroll processing, maintaining payroll data integrity, and coordinating with internal teams and external vendors. This role requires a strong understanding of global payroll regulations, excellent leadership and organizational skills, and the ability to navigate complex payroll scenarios across different jurisdictions.

Main tasks and responsibilities

  • Oversee and manage end-to-end payroll operations in France (140 employees) using in collaboration with the payroll provider ADP
  • Oversee and manage end-to-end payroll operations in our foreign offices (8 international offices from 5 to 20 people in each office), in collaboration with local payroll providers (externalized payroll) and local HR relays to ensure seamless payroll delivery
  • Ensure accurate and timely payroll processing, including salary calculations, deductions, and statutory contributions
  • Stay updated with global payroll regulations, tax laws, and compliance requirements for each jurisdiction
  • Review and validate payroll inputs, including employee data, timesheets, benefits, and deductions, for accuracy and compliance
  • Manage payroll data integrity and maintain employee records in compliance with data protection regulations
  • Develop and implement payroll policies, procedures, and controls to ensure accuracy, compliance, and data security
  • Coordinate year-end payroll processes, including tax reporting, annual statements, and compliance filings for each country
  • Handle complex payroll scenarios, such as international assignments, expatriate payroll, and cross-border payments
  • Implement payroll system enhancements, upgrades, and integrations to improve efficiency and accuracy
  • Conduct periodic payroll audits to ensure data accuracy, identify discrepancies, and resolve any payroll-related issues
  • Stay updated with industry best practices and emerging trends in global payroll management
  • Provide guidance and support to HR, finance, and accounting & compliance teams regarding payroll processes
  • Reporting: create monthly, quarterly, or yearly reports when required (salaries, benefits, etc.) and work closely with the HR Data Analyst to provide cross-verifications & coherence checks. Contribute to the yearly remuneration statement preparation
  • Budget preparation & follow-up: contribute to headcount budget preparation and follow-up headcount budget on a monthly basis together with the HR Data Analyst
  • Costs control: Track HR related costs such as international mobility costs, benefits (health, life, variable pay, etc.)

Job requirements

  • Education: Business School or Master degree preferably in Human Resources
  • Good knowledge of French Labour Law
  • Tools:
    • ADP Decidium expertise is a must
    • HRIS expertise (Core HR maintenance, imports / exports, On-Off boarding module, etc.)
    • Microsoft 365, with expertise of SharePoint & Excel
  • Experience: 3 to 5 years’ proven experience as an International Payroll Specialist or similar role, with a focus on managing payroll operations across multiple countries and regions
  • Fluent in English & French, knowledge of another language would be an asset
  • Technical & soft skills required:
    • Strong team spirit, experience working in matrix/complex/fast-paced environments and international settings is required
    • In-depth knowledge of global payroll regulations, tax laws, and compliance requirements for various jurisdictions
    • Strong understanding of statutory deductions, tax rates, social security requirements, and benefits regulations in different countries
    • Experience working with international payroll service providers and managing relationships with external vendors
    • Excellent attention to detail and accuracy in processing complex payroll scenarios across different jurisdictions
    • Strong analytical and problem-solving skills to handle complex payroll calculations and reconciliations
    • Excellent organizational and time management skills to handle multiple payrolls and deadlines
    • Collaborative and collective approach, capable to work in a “knowledge sharing” mode and act as a key team player
